Lead Management Software

Every enquiry as a record with an owner, a source, an AI score and a scheduled next step — instead of a row in a spreadsheet.

Definition

What Lead Management means

Lead management is the work of capturing every enquiry, deciding which are worth pursuing, giving each one an owner, and following up until the lead either becomes a customer or is closed out. In MyERPZ CRM a lead is a record rather than a line in a spreadsheet, so its source, owner, score, activities and follow-ups travel with it from the first enquiry to the sale.

What usually goes wrong without it

  • Enquiries arrive from several places and land in different inboxes, so nobody is certain which have been answered.
  • The source of a lead is lost by the time anyone calls, which makes it impossible to say which channel is worth the spend.
  • Two people call the same lead because there is no owner on the record.
  • Follow-ups are remembered rather than scheduled, so the slower leads go quiet and stay quiet.
  • The only ranking is whoever shouted loudest this morning.

What you get

Lead Management Software in MyERPZ

Every capability listed here exists in the product today, on the same records and under the same permissions as the rest of the CRM.

  • Lead records
  • Lead ownership and assignment
  • CSV import with field mapping
  • AI lead scoring
  • AI lead classification
  • Follow-ups
  • Activities
  • Calendar
  • Documents
  • Notifications
  • Role-based access
  • Reports and dashboards

What changes

What you get out of it

  • Every enquiry has an owner

A lead is assigned rather than left in a shared inbox, so there is always one person answerable for what happens next and no chance of two reps calling the same number.

  • A priority order you can defend

AI lead scoring ranks the list and shows the signals behind the ranking. A rep can disagree and work it their own way — the point is that the order came from somewhere.

  • Follow-ups that are records, not intentions

A follow-up has an owner and a date. Overdue ones are surfaced by the AI rather than discovered when someone finally scrolls far enough down the sheet.

  • The source survives to the sale

Where a lead came from stays on the record through conversion, so you can report on which channels produce business rather than which produce enquiries.

How it flows

How the work moves

Each stage is a record in the same system, so nothing is re-entered when it moves to the next one.

  1. Lead created
  2. Owner assigned
  3. Scored and classified
  4. Follow-up scheduled
  5. Activity logged
  6. Converted or closed

With AI built in

How AI reads Lead Management

The AI runs on these same records and inside the same permissions. It reads nothing the signed-in user could not already open.

  • Lead scoring ranks the list and shows the signals it used
  • Lead classification sorts new enquiries without manual tagging
  • Follow-up intelligence surfaces leads that have gone quiet
  • Next best action recommends the step to take on a specific lead
  • AI email generation drafts the follow-up for you to review and send

Lead Management FAQ

Questions about Lead Management Software

General questions are answered in the full FAQ under Resources.

What does lead management software actually do?

It keeps every enquiry as a record with an owner, a source, a status and a scheduled next step, rather than as a line in a spreadsheet. In MyERPZ that record carries its own activities, documents and follow-ups, so the history of a lead is readable without asking the person who happened to handle it.

Can I bring in the leads I already have in a spreadsheet?

Yes. Leads import from a CSV file with field mapping, so your columns are matched to MyERPZ fields rather than forced into a fixed template. Deduplicate the file first and import about twenty rows as a test before the full run — most rejected rows are a mapping problem that shows up immediately in a small batch.

Does a lead keep its source all the way through to the sale?

Yes. The source stays on the record as the lead moves through follow-ups, activities and conversion. That is what makes channel reporting meaningful — you can see which sources produce leads that close, not only which produce leads that arrive.

What happens to a lead once it converts?

It becomes a customer record and the history goes with it. The original enquiry, its activities and any attached documents stay in place, so nothing is re-entered and whoever manages the account inherits the full context rather than a name and a number.
