CRM Feature

Contact and Customer Management Software

One accurate record per customer, carrying every activity, message, document and payment attached to them.

Definition

What Contact Management means

Contact management is keeping a single accurate record for each person and company you do business with — their details, their history with you, and everything attached to them. In MyERPZ CRM the customer record is where all of it lands: activities, follow-ups, email and WhatsApp conversations, documents, bookings and payments, under the same permissions as the rest of the product.

What usually goes wrong without it

  • The same customer exists twice, in two systems, with two different phone numbers.
  • Answering “what did we agree?” means opening an old email thread and hoping it was the right one.
  • When someone leaves, the context of their accounts leaves with them.
  • Sales and the team delivering the work read different copies of the customer and neither is certain which is current.

What you get

Contact and Customer Management Software in MyERPZ

Every capability listed here exists in the product today, on the same records and under the same permissions as the rest of the CRM.

  • Customer records
  • Contact details and history
  • Activities
  • Calendar
  • Follow-ups
  • Email
  • WhatsApp
  • Documents
  • Bookings
  • Payments
  • Notifications
  • Role-based access

What changes

What you get out of it

  • One customer, one record

Everyone works on the same record rather than on their own copy of it, so there is no reconciliation step and no argument about which version is right.

  • Handover without a briefing

AI customer summaries condense the history into something readable before a call, so an account can change hands without someone reading back through a year of activity.

  • Documents where they belong

Agreements and identity documents attach to the customer or the booking they concern, subject to the same role-based access as everything else.

  • Access decided by role

Permissions are granted to roles rather than to individuals, so onboarding a new team member is assigning a role instead of auditing every record.

How it flows

How the work moves

Each stage is a record in the same system, so nothing is re-entered when it moves to the next one.

  1. Lead converts to customer
  2. Record created
  3. Conversations logged
  4. Documents attached
  5. Payments recorded
  6. Relationship continues

With AI built in

How AI reads Contact Management

The AI runs on these same records and inside the same permissions. It reads nothing the signed-in user could not already open.

  • Customer summaries condense the whole history into something you can read before a call
  • Meeting summaries turn a conversation into a record without anyone writing it up afterwards
  • Follow-up intelligence flags accounts that have gone quiet
  • The assistant reads only the records the signed-in user is already allowed to open

Contact Management FAQ

Questions about Contact and Customer Management Software

General questions are answered in the full FAQ under Resources.

What is the difference between contact management and a CRM?

Contact management is one part of a CRM. It keeps accurate records of the people and companies you deal with. A CRM adds what happens next to those records — pipeline, follow-ups, bookings, payments and reporting. In MyERPZ they are the same records rather than two systems that have to agree with each other.

Can we end up with duplicate customer records?

The usual cause is an import, not day-to-day use — inside the product a customer is one record that everyone works on. Deduplicate your file before importing and run a small test batch first, which is where duplicates and mapping mistakes show up while they are still cheap to fix.

Does the customer record hold payments and documents too?

Yes. Bookings, payment records and attached documents sit on the customer they belong to, under the same role-based access as the rest of the record. What is outstanding and what was signed are therefore answerable from one place instead of from a separate ledger and a shared drive.
